Frequently asked questions about the BlackBerry State Database
Summary
The BlackBerry State Database creates an instance for each BlackBerry handheld
user. It is the repository used by the BlackBerry Enterprise Server to store information about messages sent to and from BlackBerry handhelds.
When a message arrives at a BlackBerry handheld user’s Lotus Notes Inbox, the
BlackBerry Enterprise Server software detects that a new message has been received, and processes it. In doing so, it writes a new entry to the user’s BlackBerry State Database, establishing a correlation between the original message
in the user’s Inbox, and the same message on the user’s BlackBerry handheld.
BlackBerry State Databases are critical to the operation of the BlackBerry Enterprise Server. The information stored in these databases supports email functionality, such as forwarding, filing, reconciling, and replying to messages.
The BlackBerry State Database also enables Lotus Notes users to use the BlackBerry Desktop Manager for email reconciliation with a local replica (even while disconnected), provided that they have a local replica of both their mail file and the BlackBerry State Database.
Frequently asked questions
1. Where is the BlackBerry State Database located?
One BlackBerry State Database exists for each user. Each database is stored in the same folder on the server, in the \state subfolder in the main BES folder. As native Lotus Notes databases, the .nsf files are based on the BBSD.NTF
template in the Domino\Data folder. When a user is added to the BlackBerry Enterprise Server using the
BESAdmin application, a BlackBerry State Database is automatically created for the user. The name of the database file is a random number, and that name and path are written to the user’s Profile document in the
BlackBerryProfiles.nsf database. By opening the Profile document for a user, an administrator or the user can
click the BlackBerry State Database link to open the BlackBerry State Database.
2. What is stored in each BlackBerry State Database?
Each time the BlackBerry Enterprise Server encounters a message in the mail file that is a candidate for redirection,
an associated document is created in the BlackBerry State Database. These documents contain sufficient
information to correlate the original document in the mail file with the document that was sent to the handheld. This
correlation data is used by the BlackBerry Desktop Software for email reconciliation purposes, as well as by the
BlackBerry Enterprise Server, if the user forwards or replies-with-text to a message on the handheld. Correlation
data for filtered messages is also populated into this database to prevent its reprocessing.
The BlackBerry State Database also creates a special document for each user that contains a mapping of the Lotus
Notes Folder IDs and the Folder IDs on the handheld. If this database is replicated on the user’s local computer,

State Database

offline synchronization can occur, since the elements required for offline synchronization exist locally on the user’s
computer.
3. What access control list (ACL) rights are required on the BlackBerry State Database?
When the BlackBerry Enterprise Server creates the BlackBerry State Database, it sets a default ACL. The default
ACL is programmatically created based on the ACL settings of the BlackBerryProfiles.nsf database.
Additionally, the BlackBerry Enterprise Server sets the owner, or the user for whom this database is being created,
as a Person/ Manager so that the user can access the database for replication purposes. Normally, the default ACL
does not need to be changed.
4. How large is each BlackBerry State Database?
Upon creation, the initial database is just under 200 KB. As documents are added to the BlackBerry State Database,
it grows less than 100 bytes per document. Therefore, the size of each database is directly correlated to the mail
volume managed by the BlackBerry Enterprise Server. Even heavy mail users should find that their BlackBerry
State Database remains in the 1 to 15-MB range.
5. Should BlackBerry handheld users replicate their BlackBerry State Database locally?
The BlackBerry Desktop Manager supports email reconciliation with a local replica (even while disconnected), if
the user has a local replica of both the mail file and the BlackBerry State Database. This requires BlackBerry
Desktop Software version 2.1 Service Pack 2 or later.
To create a local replica of the BlackBerry State Database, open the BES\BlackBerryProfiles.nsf database on
the BlackBerry Enterprise Server. Open the account document, and click BlackBerry State Database. When the
database opens, on the File menu, select Replica > New Replica to create a local replica on your computer. You
should configure the replication of your BlackBerry State Database so that it replicates on the same frequency as
your mail file.
6. When I remove a user from the BlackBerry Enterprise Server, what happens to the BlackBerry State Database?
After 24 hours, the BlackBerry State Database is programmatically deleted. When a user is removed from the BlackBerry Enterprise Server, th is removes the link between the user’s BlackBerry State Database Profile document
and the BlackBerry State Database. If the user is re-added to the BlackBerry Enterprise Server, they will not be able
to forward or reply-with-text to any messages that were on their device prior to being removed from the server.
7. In the past, we removed users from the BlackBerry Enterprise Server and re-added them to resolve technical issues; is this procedure correct?
No. When a user is removed from the BlackBerry Enterprise Server, this removes the link between the user’s BlackBerry State Database Profile document and the BlackBerry State Database. A warning is displayed that must be confirmed before this action can proceed.

With the BlackBerry handheld, how do I wirelessly add or remove applications?
With BlackBerry handheld software version 3.6 or later, you can wirelessly download third-party Java applications using the BlackBerry Browser. You can then manage, run, and delete these applications using the handheld application manager.
Two files are required to wirelessly download an application to the BlackBerry handheld:
.jad file: An application descriptor that provides information about the application and the location of .cod files
.cod file: Compiled and packaged application code, in a BlackBerry-specific format
The BlackBerry browser uses the .jad file to discover applications for download. This .jad file provides a URL to the .cod files for the application. The .jad file is required. Application .cod files cannot be downloaded directly if a .jad is unavailable.

Cannot use the Set password and lock handheld command from BlackBerry Manager
Problem
A BlackBerry device user forgets the password to unlock a BlackBerry device. The system administrator tries to unlock the BlackBerry device using the Set password and lock handheld command in BlackBerry Manager.
If the BlackBerry device user remembers the password, then the command will work as expected; however, the BlackBerry device user must type the old password first, then type the new password that was set by the system administrator. If the BlackBerry device user does not know the old password, then after typing the password incorrectly 10 times, all data on the BlackBerry device will be erased.
If the BlackBerry device does not have content protection enabled, but content protection was enabled previously (while the BlackBerry device was activated on the BlackBerry Enterprise Server), the command will not work. If content protection was disabled while the BlackBerry device was activated on the BlackBerry Enterprise Server, all data on the BlackBerry device must be erased and the BlackBerry device must be activated on the BlackBerry Enterprise Server again. The system administrator will then be able to use the Set password and lock handheld command.
Cause
The BlackBerry device still has encrypted data even after content protection is disabled; therefore, the Set password and lock handheld command prompts the BlackBerry device user to type the old password first, then accept and type the new password set by the system administrator.
Resolution
Erase all data on the BlackBerry device, then reactivate the BlackBerry device on the BlackBerry Enterprise Server.

Unable to write to database because database would exceed its disk quota
Problem
The BlackBerry Enterprise Server displays the following error:
Unable to write to database because database would exceed its disk quota.
Cause
This problem has multiple causes.
Cause 1
The BlackBerry Enterprise Server sends an all points bulletin (APB) for an email message that is not delivered to the BlackBerry smartphone of the BlackBerry smartphone user whose IBM Lotus Domino mail file is exceeding the quota limit. The APB includes the following error message:
unable to process message
The email message may be in Multipurpose Internet Mail Extensions (MIME) format and include attachments. The BlackBerry Enterprise Server makes a request to open the message document and if the message document is not in Rich Text Format, the BlackBerry Enterprise Server makes a request for the IBM Lotus Domino messaging server to convert the email message to Rich Text Format (generally from MIME format). When the IBM Lotus Domino messaging server converts a message to Rich Text Format, it needs sufficient free space in the mail file to expand the email message. When the IBM Lotus Domino messaging server reports that it is not able to process the request, the BlackBerry Enterprise Server reports the Unable to write to database because database would exceed its disk quota error.
Cause 2
The BlackBerry Enterprise Server attempts to save a copy of an outgoing email message from the BlackBerry smartphone for the BlackBerry smartphone user whose IBM Lotus Domino mail file is exceeding the quota limit.
For example, an email message is sent from the BlackBerry smartphone and the Save Copy of Sent Folders setting is set to True on the BlackBerry Enterprise Server for the BlackBerry smartphone user. The BlackBerry Enterprise Server will send the outgoing email message using the mail.box of the IBM Lotus Domino server that is running the BlackBerry Enterprise Server task. The BlackBerry Enterprise Server also attempts to save a copy of the outgoing email message in the BlackBerry smartphone user's mail file. Since the mail file size has exceeded its quota, the IBM Lotus Domino mail server is not able to save the copy of the outgoing email message and the BlackBerry Enterprise Server reports the Unable to write to database because database would exceed its disk quota error.
Resolution
Decrease the mail file size so that it is below the quota limit. Compacting the mail file may release any white space and decrease the mail file size. For steps on compacting, see KB02207.
It is also possible to remove the quota limit on the mail file.
Workaround
For Cause 1
Setting the Preference for Incoming Message setting on the affected BlackBerry smartphone user's Person document to Prefer Notes rich text format may mitigate the error until one of the resolutions can be applied. Please consult IBM support for more details on the Preference for Incoming Message option.

Why is my BlackBerry losing its call logs or message logs?
Having a large amount of images, ringtones and or games stored in the device may reduce available free memory. If the BlackBerry Pearl's memory is at or near capacity the handheld will begin to delete the oldest Call Log and Text Message (SMS) entries in an effort to free up memory space. In order to prevent this, free memory must be increased. NOTE: Saved messages will not be deleted.

Email messages are removed from the BlackBerry smartphone after restoring the Messages database
Problem
The BlackBerry smartphone user has been removed and then added to the BlackBerry Enterprise Server. After restoring the Messages database, the email messages are removed from the BlackBerry device.
Cause
After the Messages database has been restored and email reconciliation occurs, the State Database is accessed to verify the RefID of the email messages. The RefIDs cannot be found because a new State Database was created after removing and adding the BlackBerry smartphone user to the BlackBerry Enterprise Server and the email messages are removed from the BlackBerry smartphone.
Resolution
The BlackBerry smartphone user should not be removed from the BlackBerry Enterprise Server in order to maintain the consistency of the State Database.

Enable Folder Redirection with Inbox subfolders
Procedure
The Inbox and Sent Items folders are set to forward email messages to the BlackBerry device by default in BlackBerry Enterprise Server software version 4.0. However, only the Inbox is set to forward email messages to the BlackBerry device by default in BlackBerry Enterprise Server software version 3.6.
To set up the Inbox subfolders to receive redirected email messages, use the steps for the appropriate option from the following list. Folder redirection can be configured from BlackBerry Desktop Manager or from the BlackBerry device.
Note: The settings only apply to messages received after the Folder redirection changes have been saved.
Option 1: Set up from the BlackBerry device
To set folder redirection on the BlackBerry device, the BlackBerry Device Software must be version 4.0 or later.
1. From the Home screen, go to Messages.
2. Display the menu and select Options > Email Settings.
3. Display the menu and select Folder Redirection.
4. In the Folder Redirection menu, expand the Mailbox by highlighting it, displaying the menu and selecting Expand.
5. Under the Mailbox, expand the Inbox by highlighting it, displaying the menu and selecting Expand.
6. Highlight the folder for which you want to enable redirection. Display the menu and select Change Option.
Note: If you are unable to select Expand for any of the folders, or if the Change Option menu option is unavailable, try turning Wireless Reconcile on the BlackBerry device off and then on again. You can find Wireless Reconcile in Messages > Options > Email Reconciliation.
7. Display the menu and select Save to save your changes. New email messages that are filtered to the subfolder will now appear on the BlackBerry device in a subfolder of the same name. Existing email messages from the subfolder will not reconcile and synchronize to the BlackBerry device subfolder.
Option 2a: Set up from BlackBerry Desktop Manager 4.0 and 4.1
1. Open BlackBerry Desktop Manager and double-click Redirector Settings.
